Privacy Policy
Examhaus is operated by RazTech Edu Solutions Ltd ("Examhaus," "we," "us," and "our"), which runs the website examhaus.com (the "Site"). The Site provides online practice questions with automated marking, and exam paper tools for teachers, for the IB Diploma Computer Science course. It is used by individual students and by schools. This policy explains what personal information we collect, how we use it, and the choices you have.
Contact: admin@examhaus.com.
1. Who this applies to
Examhaus is built for secondary and pre-university students, many of whom are under 18, and for their teachers. If you're under the age of majority where you live and you sign up on your own (not through a school), you should only create an account or buy a plan with a parent or guardian's involvement. They're responsible for any purchase made.
2. Schools and their students
When a school uses Examhaus, the school decides how its students' information is used, and we process it on the school's behalf (in data-protection terms, the school is the "controller" and we are its "processor"). We only use school students' information to provide Examhaus to that school. Schools can ask us for a data processing agreement at admin@examhaus.com.
If you're a school student with a question about your data, you can ask your school or contact us directly.
3. Information we collect
- School students — the school code you joined with, a username you choose, a password, and, only if you choose to give it, your first name. We do not ask school students for an email address, surname, date of birth or any other contact details. We suggest choosing a username that isn't your real name.
- Individual students and teachers — your name, email address and a password. You must confirm your email address before you can use the platform.
- Passwords are handled by our sign-in provider. We never see or store them in plain text.
- School and teacher information — if you register a school or ask to join one as a teacher: the school's name and address, a contact name, email address and phone number, and a photo of your teacher ID card, which we use only to check that you are a teacher. Only our administrator can view that photo.
- Course choices — your subject, your level (SL or HL) and, where the course needs one, your programming language.
- Practice activity — the questions you attempt, the answers you write, the marks and feedback you receive, and the progress figures built from them.
- Teacher activity — on a free trial of the exam paper generator, how many papers and tests you have generated. We don't keep copies of the papers themselves.
- Payment records — for plans and school invoices: what was paid or billed, by whom, when, and its status. We never receive or store card details. Payments are processed by Stripe.
- Enquiries and messages — if a school registers its interest, or anyone writes to us, through our enquiry and contact forms (Google Forms) or by email, we receive the details entered and keep a record so we can reply and follow up.
- Cookies and local storage — your browser stores what it needs to keep you signed in and remember a few display preferences. We do not use advertising or analytics cookies.
4. How we use it
- to create your account, let you practise, and show you your marks, feedback and progress;
- to mark your written answers (see section 5);
- for school accounts, to let a teacher see the progress of the students in their own class, and to let us approve schools and teachers, set seat allowances and send invoices;
- to let teachers generate exam papers and tests;
- to send service emails to teachers and individual students: email verification, password resets, notices that a school or teacher request was received or approved, and billing emails (school students don't receive emails, because we don't have their email address);
- to reply to messages and enquiries you send us;
- to keep the Site secure and prevent misuse.
We don't use your information for advertising, we don't sell it, and we don't share it with anyone for their own marketing.
5. Automated marking
Your written answers are marked by an AI model. To do this we send Google's Gemini service (through Google Cloud) the question, its marking points, and the answer you wrote. We do not send your name, username or email address with it, and Google does not use it to train its models. The marks and feedback it returns are stored against your account.
6. Who can see your information
- Your teacher. If you joined a school class, the teacher who runs that class can see your username (or first name, if you gave one), your level and your progress. They can also reset your password, move you out of the class, or delete your account. Other students can't see your information. Other teachers at your school can see how many students are in your class, but not who they are.
- Our administrator, to run the service and help with problems.
- Service providers. We use a small number of providers to run the Site, each receiving only what it needs to do its job:
- Google Firebase — our database, sign-in and file storage;
- Google Cloud (Gemini) — marks your answers, as described above;
- Google Forms — collects enquiries and messages sent through our forms;
- Stripe — payment processing;
- Resend — sends service emails;
- Vercel — hosts the Site.
7. Where your data is stored
Our database and files are stored by Google in the United States. If you're in the UK, the EU or another country with data-transfer rules, your information is transferred there under the safeguards our providers offer for international transfers (such as the EU–US Data Privacy Framework and standard contractual clauses).
8. How long we keep it
- School students: for as long as you're in a class at a school with an active subscription. Your teacher or school can ask us to delete your account at any time. When a school's subscription ends, we keep its students' accounts and progress for 90 days, so nothing is lost if the school renews, and then delete them permanently.
- Individual students and teachers: for as long as your account exists. You can ask us to delete it at any time.
- Teacher ID card photos: kept while the teacher's account exists, deleted with it.
- Payment and invoice records: kept as long as tax and accounting rules require, even after an account is deleted.
To ask for deletion, email admin@examhaus.com.
9. Your rights
Depending on where you live, you may have rights to access, correct, delete or receive a copy of your data, or to object to how we use it. Email admin@examhaus.com to exercise any of these. If you're a school student, we may involve your school, since it controls your data. You can also complain to your local data-protection authority.
10. Security
We take reasonable steps to protect your data: passwords are never stored in plain text, teacher ID photos can only be viewed by our administrator, the answer keys for questions are kept on our servers and are not sent to students' browsers, and administrative access to our systems is restricted to us. If a data breach affects your information, we'll tell the people affected (and, for school students, their school) without undue delay. No online service can guarantee absolute security.
11. Changes to this policy
We may update this policy from time to time. The date at the top will reflect the latest version, and we'll call out material changes on the Site.
